The Company handles Members’ personal information only to the extent necessary to achieve the purpose of use specified in 3 above. However, in the following cases, the personal information of Members may be handled beyond the scope necessary to achieve the purpose of use specified and announced in advance, without obtaining the prior consent of Members.
For business purposes, the Company may transfer business units related to the Service. In such cases, User information is usually considered a transferred business asset. However, the Company may transfer all or part of the User’s personal information in order to continue the Service provided to the User or for other business purposes.

At conferences and other events held by the Company, the Company may take photography and videos. These may be published on the Website of the Company, on various social media and in the Company’s media, etc. Please note that especially presenters and award recipients are likely to be published

1. Definition of Personal Information

Definitions of terms in this policy are as follows.
- “Members” refers to all Users who have registered to use the Service. Members are “Contributors (authors)”, “Editorial Board Members”, or “Reviewers” of an article who uses the Service by creating an account in addition to “Mail Magazine Members”.
- “Contributor (author)” is any person who has registered in accordance with the prescribed procedures set forth by the Company and who has the right to submit an article written by him/herself for publication in this Service.
- “Editorial Board Member” refers to the person who assesses and reviews the following Articles, Technical Articles, Review Articles, Secondary Publications, and Reports handled by the Service.
- “Reviewer” is a person who works together with the Editorial Board Members to review the Articles (peer reviewed) handled by the Service.
- “Supporting Company” is defined as a corporation that has paid the prescribed annual membership fee for the Service and has paid an annual sponsorship fee of 200,000 yen or more per unit.
- “User” refers to all users of the Service, both Members and non-Members.
3. Personal Information Obtained Through the Service, Purpose of Use, and Scope of User
The personal information that the company obtained in connection with the provision of this Service and the purposes for which it is used are as follows.

From a “User”, the Company will obtain personal attribute information, IP address, cookie information, information on pages viewed by the User, terminal information, and other information on access to the Service, behavioral history, and usage. If there is a co-author, the Company will obtain the co-author’s name, e-mail address, organization name and other personal information after the Contributor obtains prior consent from the co-author in accordance with the Journal of Digital Life submission guidelines. The personal information of the co-authors will be used for communication with the editorial office and for reviewing the article, and the co-authors’ names and e-mail addresses will be displayed when the article is published. In addition, the above-mentioned personal information may be provided to the Editorial Board Members and Reviewers in foreign countries in the article review process.
- From “Editorial Board Members”, personal information such as name, contact information, organization name, e-mail address, and ORCID will be obtained. In addition to the purpose of acquisition described in 1 above, this information will be used for the purpose of communication with the editorial office, notification of payment of honorarium, etc., from the review of the article to the payment after publication.
- From “Reviewers, personal information such as name, contact information, organization name, e-mail address, and ORCID will be obtained. This information will be used for the purpose of reviewing articles and paying rewards after publication, including communication with the editorial office and notification of payment of rewards, in addition to the purpose of acquisition described in 1 above.
- In addition to the personal information described in Section 1 above, the “Supporting Company” will be asked to provide its name, address, name of the person in charge, telephone number and e-mail address. In addition to the purpose of obtaining such information as described in 1 above, such information will be used for the purpose of providing Services to the “Supporting Company”, such as contacting the Secretariat and notifying them of events hosted by the Service.

- By agreeing to the Terms of Use of “Journal of Digital Life” and entering the information required to register or create a Member account.
- By obtaining the information from the User’s browser by using IP address and cookies when a User accesses the website of the Service.
- Other methods of obtaining personal information based on prior consent.
- When there is a request based on the Provider Liability Limitation Act (Act on the Limitation of Liability for Damages of Specified Telecommunications Service Providers and the Disclosure of Identification Information of the Sender)
- When legally required under compulsion by prosecutors, police, regulatory authorities, etc., or when it is necessary to cooperate with a commission or inquiry even in the case of a voluntary commission or inquiry without legal compulsion, and it is determined that obtaining the User’s consent would interfere with the purpose of the commission or inquiry.
- If the Company becomes the subject of a lawsuit or other legal action regarding the Service, the Company may submit the information to a court of law as necessary.

- When a Member reveals personal information to other Members using the functions of the Service or other means.
- If the information entered this Service unintentionally identifies the individual.
- When personal information is provided by a Member and used on an external site linked from this Service.
- When a non-Member obtains information (ID, password, etc.) that can identify an individual Member.
